Personal Assistant

WHAT WE ARE LOOKING FOR
ISGlobal is looking for a Personal Assistant to provide administrative support to Anna Roca and her working group. Duties are detailed below.
Prof Roca has extensive experience in conducting large-scale and innovative clinical trials, pioneering the use of intra-partum azithromycin to improve maternal and neonatal health outcomes – a trial model now replicated by several institutions working across low- and middle-income countries. In recent years, her portfolio has broadened to evaluate the impact of the COVID-19 pandemic in West Africa. Prof. Roca is a dedicated mentor, nurturing the next generation of global health leaders. She is also a recognized advocate for gender equality with a track record of promoting inclusivity and diversity within the scientific community.
KEY RESPONSIBILITIES
- Assisting in the organization of agenda as well as face-to-face and online meetings and other events such as seminars
- Planning and organizing trips (travel, accommodation and others), including preparing expenses’ resports and handling reimbursements
- Supporting the PI in any administrative needs related to research projects
- Keeping the CV up to date and managing reference and project databases
- Manage communications (website, social media management, events, etc.) for the different research projects
- Support with administrative needs related to PhD and other research students
- Maintaining records and filling important documentation

TRAINING AND EXPERIENCE / QUALIFICATIONS
- Professional training in administration or bachelor's degree
- 2+ years of work experience in administration / personal assistant functions
- Desirable: Experience in Research or in working in a Research Institutions is desirable
LANGUAGE LEVEL
- Proficiency in English.
- Catalan and/or Spanish desirable.
CONDITIONS
- Duration: permanent contract
- Starting date: as soon as possible
- Contract Type: Part time (20h/week)
- Proportional Salary: Technician II C (23.119 € gross annual)

SELECTION PROCESS
The selection process is designed in two phases:
1- Interview phase of a technical nature, with the team that requires the incorporation. To assess the person's skills and CV.
2 - Meeting with HR with the finalist(s) to finish assessing the profile and discuss contractual and institutional issues.
If needed any technical test could be passed. A Psychological Competency Evaluation Test will be required for the structural or transversal positions.
In accordance with the OTM-R principles, a gender-balanced recruitment panel is formed for every vacancy at the beginning of the process. After reviewing the content of the applications, the panel will start the interviews, with at least one technical and one administrative interview. A profile questionnaire as well as a technical exercise may be required during the process.
