Project Manager for MultiplexAI Project

WHAT WE ARE LOOKING FOR
ISGlobal is looking for a Project Manager with experience in implementation of clinical studies in low-middle income countries to help us supervise activities under a newly granted project introducing an AI diagnostic system that leverages existing microscopes and mobile technology for the diagnosis of many parasitological diseases. The project presents a consortium of 9 partners including technological, clinical and laboratorial experts.
KEY RESPONSIBILITIES
To provide expertise in the management of an EDCTP3 funded project and supporting the technical team to implement correctly the planned activities. The Project Manager may be requested to support related applications for successive or additional funding.

- Detecting potential timeline issues and providing timely and proactive issue escalation to MultiplexAI scientific coordinator.
- Supporting work package leaders and monitoring project activities to ensure approved milestones are achieved.
- Collecting information to ensure timely and formal project reporting with full and accurate information as determined by the funder’s requirements.
- Meeting with MultiplexAI Finance management on a monthly basis to review project expenditure, and provide support as requested in planning the next year’s budget.
- Liaising with internal team members and sites to ensure they maintain the currency of project tracking tools.
- Utilizing the MultiplexAI project dashboard to monitor site progress across protocols, providing progress reports and alerts to the team as required.
- Monitoring and reporting progress of Gantt chart deliverables to MultiplexAI technical coordinator and assisting with issue identification and resolution.
- Support protocol-specific vendor selection, negotiation, and management, scientific monitoring of associated budgets and contracts as needed.
- Managing vendors that provide general services across the project, e.g., travel agents, auditors, etc.
- Verifying that project activities are implemented according to project objectives and timelines.
- Identifying and escalating issues through existing channels.
- Assisting in issue resolution.
- Monitoring the project progress with identified project management tools and verifying timely decision-making.
- Monitoring project adherence to the legal frameworks, written procedures, and agreements with the funders/sponsor.
- Ensuring proper filing (hard copies or electronic documentation) of all non-protocol project-related documents.
- Ensuring that required team meetings are held and agreeing on important issues for the agenda with the PI and CS.
- Participating in recruitment and training of internal project staff (as applicable).
- Monitoring and assisting sites to ensure timely recruitment of key site staff.
- Monitoring and assisting sites to ensure timely procurement of key specific items necessary to execute relevant protocols.
- Provide input into team members' performance evaluation as requested.
- Reporting on the project to funding bodies, the Principal Investigator, and the Scientific Coordinator.
- Ensuring timely reporting and appropriate dissemination internally and to stakeholders and project partners.
- Coordinating with the communication department and ensuring communication and dissemination at a technical level.
- Participating in publications and oral presentations if desired.
- Assist the financial manager in monitoring budget management and procurement as requested.
- Assist the leadership team and finance manager to identify critical issues with an impact on the budget.
- Support the development of financial reports by reviewing and assisting in the provision of financial justification of activities as requested.
- Coordinate project closeout activities in accordance with the project management plan, protocol, and relevant ISGlobal SOPs and policies.
- Assist designated team members with the closing of each contract applicable to the project or project phase.
- Verify the financial closing of the project budget and account, if applicable.
- Coordinate documentation of lessons learned from Site leadership, work package leaders, and ISGlobal team members.
- Regular meetings with the Programme Manager to ensure adequate coordination between all projects of the group.
- Integration in team meetings and activities.
- Support researchers of the team in the preparation of requests for additional funding (grants or fellowships).
- Strong organizational skills to cope with multi-tasking daily work, used to work in a goal-oriented approach
- Stress tolerance and a strong team play with the ability to work independently without supervision
- Critical thinking and problem-solving skills, ability to handle troublesome situations and think ahead with a decisive attitude
- Good people management skills and strong communicator with the ability to set clear performance-oriented objectives and to use persuasive strategies

- Willingness to travel internationally
- University degree; preferably but not necessarily in Health / Life Sciences.
- Verifiable successful experience in technical writing, proofreading, editing, grant writing or other equivalent written communication formats.
- Knowledge and experience managing European and International calls (such as H2020, EDCTP, EIT Health, NIH, BMGF)
- Familiarity with Responsible Research and Innovation (RRI) activities (public engagement, open access, gender, ethics, science education) will be valued
- Experience working in a research centre will be valued.
- Experience in budget management will be valued.
- Proficiency in English and Spanish.

SELECTION PROCESS
The selection process is designed in two phases:
1- Interview phase of a technical nature, with the team that requires the incorporation. To assess the person's skills and CV.
2 - Meeting with HR with the finalist(s) to finish assessing the profile and discuss contractual and institutional issues.
If needed any technical test could be passed. A Psychological Competency Evaluation Test will be required for the structural or transversal positions.
