Personal Assistant for the PvREX - Plasmodium vivax and Exosome Group

WHAT WE ARE LOOKING FOR
ISGlobal is seeking a Personal Assistant who will assist Dr. Hernando del Portillo, leader of the PvREX - Plasmodium vivax and Exosome, and Dra. Carmen Hernandez with the smooth running of administrative tasks related to the research projects and the overall unit.
Dr. Hernando del Portillo also leads de program of Malaria and neglected parasitic diseases, so the personal assistant will also give admin support to contribute to the organization of Programme activities aiming at:
- promoting programme cohesion and visibility,
- facilitating synergies between the researchers (intra and inter programmes)
ISGlobal staff are based across different workplaces. In this case, the research group the selected candidate will join is located at the Hospital Germans Trias i Pujol (IGTP), which will be their main workplace.
Although the position will require on-site work during the first few months, the candidate may later opt for up to two days of teleworking per week, depending on the needs of Dr. Hernando del Portillo and the research group, and in accordance with the current policy.
KEY RESPONSIBILITIES
- Assisting with the organization (documentation, reporting) of face to face of in presence and online meetings & events
- Organize and update the agenda of the principal investigator
- Planning and organizing trips, and high-level visits required for the projects
- Support the PI in any administrative need related to research projects
IN RELATION WITH THE PROGRAM
- Organisation and coordination of regular cross-group, inter-program meetings and program cohesion activities, such as regular seminars, annual programme retreats.
- Centralization and updating the programme information: members, active projects, etc.
- Support coordination of the programme reporting: requesting and gathering the information. Examples: Annual report, the EAC and CERCA reports, and other reporting requirements (La Caixa, Uneix, etc.).
- Support to coordinate the distribution of work among investigators and other staff (ISGlobal blogs, ISGlobal Friday seminar, programme sessions, institutional visits, program-specific tasks, other requests to the programme from ISGlobal departments).
- Support to the prioritisation processes within the programme (e.g., INPHINIT La Caixa grants).
- Contact person for other non scientific issues (internal and external) related to the research programme.

TRAINING AND EXPERIENCE / QUALIFICATIONS
- Bachelor’s Degree in Business Administration, Biology, Global Health, Political Science, Sociology or related fields
- Professional Training in Administration
- 2+ working experience in administration / project assistant roles
LANGUAGE LEVEL
- Proficiency in English and Spanish.
- Catalan desirable
CONDITIONS
- Duration: Permanent contract with 6 months probation period
- Starting date: as soon as possible
- Contract Type: Part time (30 hours per week)
- Salary: Technician II B - 26.588€ gross annual for a full-time (40h/week) position. Final salary will be adjusted according to the agreed part-time schedule.

SELECTION PROCESS
The selection process is designed in two phases:
1- Interview phase of a technical nature, with the team that requires the incorporation. To assess the person's skills and CV.
2 - Meeting with HR with the finalist(s) to finish assessing the profile and discuss contractual and institutional issues.
If needed any technical test could be passed. A Psychological Competency Evaluation Test will be required for the structural or transversal positions.
In accordance with the OTM-R principles, a gender-balanced recruitment panel is formed for every vacancy at the beginning of the process. After reviewing the content of the applications, the panel will start the interviews, with at least one technical and one administrative interview.
