Financial Manager / Administrative Officer

WHAT WE ARE LOOKING FOR
ISGlobal is seeking an Financial Manager-Administrative Officer who is interested in taking over and managing activities of the project “Trypanosoma cruzi-LAMP: a molecular point-of-care test for the control of congenital Chagas disease - from prototype to product”.
The overall project goal is to advance in the regulatory process of licensing the prototype by Eiken Chemical Co. (Tokyo, Japan) T. cruzi-LAMP as innovative point-of-care diagnostic tool for the timely detection of vertically transmitted T. cruzi infections. The project is a continuity of former GHIT Fund ChagasLAMP (https://www.ghitfund.org/investment/portfoliodetail/detail/184/en)
KEY RESPONSIBILITIES
- Support them in the budget reviews of the project by preparing specific files, ensuring the eligibility of the project activities and their costs under the internal terms and conditions of the funder.
- Assist in the conversations with the partners and daily management of the project.
- Be the focal communications point with the consortium partners and donors for financial aspects.
- Support the review of contracts, and follow-up all the subsequent administrative processes with the supervision of the PC and support of the SO.
- Ensure compliance and consistency between the internal processes of the Institution and the policies and procedures established by the funder.
- Draft, create or adapt, independently, monitoring documents and templates for reporting and other contractual matters.
- Follow up of the expenses of the project and monitoring of the budget execution for all parties involved in the project.
- Promote prompt corrective actions if there are deviations from the budget and the terms of the financing.
- Prepare accurate financial reports and updates of the project, with the supervision of ISGlobal Head of Grants office and the PC and SO.
- Establish a financial risk management process as part of a project risk management process, monitor and flag emerging issues to the PIs in a timely manner for resolution.
- Prepare any request information related to financial and contractual matters, with the supervision of ISGlobal Head of Grants office.
- Follow-up of the sub-agreements in terms of financial and contractual matters.
- Travel to the sites to supervise, monitor and provide support if needed to any administrative or financial aspect: budget preparation, budget execution and reporting.
- Manage cash flow of the general grant and for individual partners.
- Take part to evaluation of partners’ management capacity and propose specific actions and contractual arrangements for a transparent and correct financial management and implementation (in coordination with the PC and SO).
- Prepare and monitor the project monitoring and audits required materials.
- Schedule travel needs for project staff, for international and national meetings and country visits (flights, accommodation, visas, letters of invitation).
- Manage daily expenses and invoices for the project together with the PC and SO, including meetings organisation.
- Help to coordinate and monitor the procurement of supplies and equipment.
- Assist the PC and SO in the preparation of project reports
- Take part in the closure procedures of the project.

TRAINING AND EXPERIENCE / QUALIFICATIONS
- At least 2 years of experience in a similar position.
- Bachelor degree, preferably in Business Administration
LANGUAGE LEVEL
- Proficiency in English and Spanish.

SELECTION PROCESS
The selection process is designed in two phases:
1- Interview phase of a technical nature, with the team that requires the incorporation. To assess the person's skills and CV.
2 - Meeting with HR with the finalist(s) to finish assessing the profile and discuss contractual and institutional issues.
If needed any technical test could be passed. A Psychological Competency Evaluation Test will be required for the structural or transversal positions.
In accordance with the OTM-R principles, a gender-balanced recruitment panel is formed for every vacancy at the beginning of the process.
