WHAT WE ARE LOOKING FOR
ISGlobal is seeking a highly organized, detail-oriented, and motivated full-time Project Assistant to support activities across two key research lines of the group: gynecological cancer and cause-of-death investigation in low- and middle-income countries. The selected candidate will assist in coordinating and organizing research activities related to the cancer line in Barcelona, while also supporting the planning, supervision, and implementation of projects conducted in collaboration with partners in low- and middle-income countries.

KEY RESPONSIBILITIES
Assist the team’s programme manager, scientific leaders and other staff, in planning, executing, and monitoring project activities in accordance with project timelines and objectives.
Documentation and reporting: Preparation of supporting documents for different meetings and research conferences maintain accurate and up-to-date project documentation, including meeting minutes, progress reports, and communication logs.
Assist in preparing progress reports, workplans and other documents as required.
Support grant development by engaging as needed with the ISGlobal pre-award team.
Develop and update spreadsheets or trackers for specific projects and team activities.
Become familiarized with the internal ISGlobal Administrative, legal, and financial processes to submit grants, organize travel, help processing refund claims, process purchase orders, and other activities.
Prepare high-quality presentations with images in PowerPoint.
Data entry and management in Excel.
Copy-editing, proofreading and reference management.
Logistical support to arrange flights, hotel stays, meetings, workshops, and events related to the projects.
Participate in relevant ISGlobal seminars or workshops.
Other responsibilities as required.

SKILLS
Strong written communication skills.
Project management skills and deadline-driven.
Excellent skills in Excel (including creating complex spreadsheets, GANTT charts and trackers), Word, and PPT (desirable: familiarity with project management tools and Canva).
Desirable: active on social media, eg LinkedIn and BlueSky or X (not required).
Previous experience in an administrative or support role is an advantage but not required.

TRAINING AND EXPERIENCE / QUALIFICATIONS
Degree in administration, project management, business, public health, global health or oncology or related field (BA level or higher).
SPECIFIC REQUIREMENTS
Strong organizational and time management skills to handle multiple tasks, prioritise work, and meet deadlines efficiently.
Ability to collaborate with team members in English and Spanish and support the project manager and other colleagues as needed.
Competency in basic administrative skills such as scheduling meetings, arranging travel, managing calendars, and handling correspondence.
Willingness to adjust to changing project needs and priorities.
Comfortable working in an international and multicultural environment.
Willing to learn and grow quickly while facing challenges as a learning opportunity.
Strong English-language skills (speaking, reading, and writing).
Fluency in Spanish.
Advantage knowledge of Portuguese.
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and an ability to quickly learn new software tools.
LANGUAGE LEVEL
English: C1–C2 (Full professional proficiency) — required.
Ability to communicate effectively in professional, scientific, and donor-facing contexts; strong writing and presentation skills for reports, proposals, and international meetings.
Portuguese and/or Spanish: B2 or above (Professional working proficiency) — highly desirable.
Capacity to communicate with partners and stakeholders in Mozambique and at ISGlobal headquarters; ability to draft correspondence and participate in meetings in these languages.

SELECTION PROCESS
The selection process is designed in two phases:
1- Interview phase of a technical nature, with the team that requires the incorporation. To assess the person's skills and CV.
2 - Meeting with HR with the finalist(s) to finish assessing the profile and discuss contractual and institutional issues.
If needed any technical test could be passed. A Psychological Competency Evaluation Test will be required for the structural or transversal positions.
In accordance with the OTM-R principles, a gender-balanced recruitment panel is formed for every vacancy at the beginning of the process.
